1. Introduction

Round Table Strategy LLC ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our customer relationship management platform (the "Service").

Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the Service.

2. Information We Collect

Personal Information

We may collect personal information that you voluntarily provide when using our Service, including:

Account Deletion: Team administrators can permanently delete their team and all associated data directly from the Settings page. This action is immediate and irreversible. We recommend exporting your data before deletion. See our Security page for more details.

7. AI Features & Data Privacy

Certain features in our Service use artificial intelligence to enhance functionality. Here's how we handle your data with AI:

AI Provider

We use Claude by Anthropic for AI-powered features such as contact import parsing and data extraction. Anthropic is a leading AI safety company with enterprise-grade privacy commitments.

How AI Processes Your Data

  • No Training: Your data is never used to train AI models
  • No Retention: AI providers do not retain your data after processing
  • API-Only: Data is sent via secure API calls with enterprise privacy agreements
  • Data Minimization: Only the minimum necessary data is sent for processing
  • Encrypted Transit: All AI API communications use TLS encryption

AI Features That Process Data

  • AI Contact Import: Parses unstructured text (screenshots, PDFs) to extract contact information
  • Smart Field Matching: Automatically maps CSV columns to database fields

8. Client Portal Access

Our Service includes a Client Portal feature that allows agents to share task updates with their clients. When using the Client Portal:

  • Limited Data Exposure: Clients only see tasks explicitly shared with them by their agent
  • PIN Protection: Access requires a secure PIN sent via email
  • Session Security: Portal sessions are cryptographically signed and expire after 24 hours
  • Revocable Access: Agents can revoke client portal access at any time
  • No Account Required: Clients do not need to create an account - they access via secure link + PIN

Client portal access is controlled entirely by the agent. Clients cannot access any data beyond what has been explicitly shared with them through the portal. For more details, please see our Security page.

9. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our Service. We may also retain and use your information to comply with legal obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we securely delete or anonymize it.

10. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

  • Right to Know: Request what personal information we collect about you
  • Right to Delete: Request deletion of your personal information
  • Right to Correct: Request correction of inaccurate information
  • Right to Opt-Out: Opt out of the sale or sharing of personal information
  • Right to Non-Discrimination: Exercise your rights without discrimination

We do not sell or share your personal information for advertising purposes.

11. International Users

We welcome users from around the world. Our Service is operated from the United States, and your data is stored on servers located in the United States through our infrastructure providers.

Infrastructure Security: We use enterprise infrastructure providers (Supabase, Vercel, Stripe) that maintain their own security certifications and compliance programs. Our security practices inherit protections from these providers.

Your Data Rights: Regardless of where you are located, you can:

  • Access and export your data from Settings
  • Request corrections to your information
  • Delete your account and all associated data
  • Contact us with privacy questions
